Girlguiding Staffordshire is looking to provide an interactive and engaging taster day event, that will showcase a variety of STEM opportunities, alongside environmental awareness initiatives.

The project’s ambition is to encourage our young women to discover hobbies that involve STEM, develop new skills, gain environmental awareness and consider future STEM professions. The taster day will take place on the final day of Unity, Girlguiding Staffordshire’s International Camp which is held every 4 years.

Time: 10.00 – 16.00 [excluding setup and pack up time]

(2 x two-hour activity slots. 10.00-12.00 and 14.00-16.00 with lunch break 12.00-14.00).

 

About Girlguiding Staffordshire

Girlguiding Staffordshire has over 8,000 members from aged 4 upwards. Thanks to the dedication and support of our amazing adult volunteers, we are active in nearly every town and village in the County. We build girls’ confidence and raise their aspirations, giving them the chance to discover their full potential and encourage them to be a powerful force for good. We give girls and young women a space where they can be themselves, have fun, build brilliant friendships, gain valuable life skills and make a positive difference to their lives and their communities.

 

Unity Camp Overview

Unity is Girlguiding Staffordshire’s International Camp, that invites members aged 10-18 from across the County, as well as welcoming members from across the UK and from all over the World. Unity always offers a huge range of activities for the girls, from adventurous to creative, skills based to teamwork, there are opportunities for everyone. During the evening, a full entertainment programme is provided to enjoy time with new guiding friends, with long lasting global friendships made throughout the camp. Unity 2026 will be the 10th Unity International Camp held by Girlguiding Staffordshire, from the 25th - 31st July 2026. We currently have nearly 700 young members currently book to attend Unity 2026 with the possibility of additional participants still to book on supported by over 400 leaders and staff volunteers.

What we are looking for

Following the success of the “Your World of Possibilities” day at Unity 2022 and incredible feedback we had from our participants and leaders we wanted to bring this experience back to Unity 2026. We are looking for businesses and organisations to provide a ‘freshers fayre’ style stall and activity, with a STEM and/or Environmental focus. Activities should be engaging and interactive, taking a non-formal education approach, to excite audiences and encourage them into exploring new hobbies and STEM career possibilities.

 

Organisation Arrangements

Our Guides/Rangers will roam freely around the fayre to engage with the activities that spark their interest. The participants will be split into two groups, where one group will have the opportunity to wander around the fayre during the two-hour morning activity session, whilst the other half will have the same opportunity during the afternoon two-hour session.

 

Target Audience

Target age: Mixture of two age groups, 10-14yrs Guides and 14-18yrs Rangers.

Suggested Activity Length: Between 10-25 mins

Group size: Should cater for small groups of anything from 2 to 20 at any one time, with 300+ participants roaming the fayre during each two-hour session. 

 

Facilities and Equipment Provision

The event will be taking place in a field with limited resources and infrastructure. Provisions available on site are detailed below.

Shelter: Large marquees are on site for wet weather provision. However, we would prefer the majority of stalls/activities to be outside if the activity is suitable.  If the activity you are providing is suitable for outdoors, you may wish to bring a small pop-up marquee or shelter. We understand not all activities will be suitable for outdoors, so stalls can be positioned within our two large marquees.

Power: There will be limited provision for power available. We would request the majority of activities to be feasible without the need of a mains power supply. However, our   large marquees on site will have a power supply via generators with limited plug points. Should a power supply be essential for the delivery of an activity please let us know on the response form.   Please note that all equipment being brought onto site should be PAT tested. 

Internet: Wifi is available on site in select areas. We would request the majority of activities to be feasible without the requirement for internet access. However, if internet access is integral for an activity, provision could be made.

Amenities: The site has various toilet facilities available and multiple water point access.

Equipment: We will have access to folding tables and chairs but if you do bring your own please remember they must be suitable for a campsite environment, not all areas are perfectly flat. 

Food: We will have a café on site, selling hot drinks, cakes and snacks and you are welcome to use this facility for your lunch break.  However, if you would prefer bringing your own lunch that is not a problem.  Arrangements will be made for you to receive free refreshments during the morning and afternoon sessions.

 

Environmental Impact

Unity 2026 is taking steps to reduce our environmental impact throughout the event., We would therefore ask businesses and organisations to kindly consider the resources and potential wastage their stall and activity will incur.  There will be the provision for very small amounts of waste to be disposed of on site but anything large must be removed by your organisation.

 

Costs

Girlguiding Staffordshire is a registered charity No. 524559. The camp is run by over 200+ volunteers to provide an extraordinary experience for young women, to broaden their global perspective, gain valuable life skills, build new friendships and most importantly to have fun. The camp is not for profit, with a limited budget. Unfortunately Unity 2026 has no funding to be able to provide major expenses for your input, but we hope that you will see the community outreach benefits and assist us with providing an activity to inspire young women from a diverse range of backgrounds.

 

Risk Assessments

Unity 2026 will have a centralised risk assessment for the camp. However, we will require a risk assessment from you that will cover the activity you will be providing.

 

Safeguarding Policy

Safeguarding and promoting the safety and wellbeing of our girls, young women and adults is Girlguiding’s first priority. It’s at the heart of everything we do, and it’s the responsibility of every Girlguiding member, volunteer and member of staff.

As an external visitor to our camp we do not require you to have Disclosure and Barring Service clearance but we would request that all your representatives wear some form of Corporate identity, whether that be a formal badge or uniform. In addition we will require that all members of your team are signed in with our security team and wear a Unity Visitors Badge so that you can be recognised at all times.

Please note that there will be certain areas of the camp where you will not be able to have access to unless accompanied by a Girlguiding representative.

We will also be asking you to complete the Girlguiding External Visitors Form closer to the event.

Public Liability Insurance

Girlguiding provides public liability insurance for members to cover anyone attending a Girlguiding event, including anyone there in a voluntary capacity. However, it doesn’t cover the actions of third-party providers - including a parent/carer attending in a professional capacity. Therefore, we will need you to have your own public liability insurance (up to £5 million) as our insurance does not cover third parties.

 

Photo Permissions

It’s important that we have permission from our members when taking any photos or videos of our girls at an event. We must also get additional consent if an external visitor wishes to take photos or videos for any purpose. This means we’re acting in line with the Data Protection Act 2018.

If you’re taking photos or videos, you’ll need to follow our Digital safeguarding policy and procedure and to complete an External Visitors Form. Once photos, images or videos have been used for their intended purpose, they’ll need to be deleted from the device used to take them. They must all be deleted within 14 days after the event has taken place.

Please note that Girlguiding UK does not allow photos, images or videos to be taken for promotional purposes of any kind outside of those which benefit Girlguiding activities.
